The majority of individuals becoming lost inside a big structure do not cite poor signage. They exit, or they meander until they locate another human to inquire, and in any case remember the place as a maze. This reaction occurs before anybody consciously notes a sign was absent or incorrect. Wayfinding is one of the rare design areas where the user experience is molded by what they never detect with effective design, and right away detect with ineffective design.
Why getting lost costs more than you think
Whenever someone stops to look at a directory, consult their phone, or retrace their steps through a lift foyer they’ve already passed, they’re doing what environmental graphic designers refer to as constructing a cognitive map – a mental image of the environment that helps them work out where they are and where they need to go. Large commercial buildings, shopping malls, hospitals, and mixed-use precincts make this more challenging than it needs to be, because the shapes of the spaces were primarily determined by physical and leasing needs, not the map-inside-their-heads of someone who’s never been there before.
It’s not just a theoretical issue. The bigger the property and the greater the complexity of the environmental graphics, the more staff time gets wasted answering the same “Where is…?” questions every day. It also means increasingly impatient customers get to spend more time waiting in reception, tenants do more unpaid work answering intrusions, and outpatients are more stressful and anxious by the time they reach the registration desk. Start with an audit, not a sign schedule
The most common error in wayfinding projects is to get onto the business of designing signs before anyone has spent time just watching how people actually move through and use the building. Take the time to do a proper site audit. This is walking the same paths your visitors do – from car park to lift, from entrance to tenancy, from stairwell to bathroom. Then note every single point where someone hesitates, checks a phone, frowns, looks up, or asks a nearby person or office staff for directions.
This is human-centred design in action, not theory. Observation and journey mapping will show you where the real friction points are, and they are probably not all where the architect assumed they would be. A corridor that looks dead simple on paper can be truly disorienting in reality, especially once one has passed a decision point and noticed three self-same doors. Designing typography for wayfinding signage is more about readability at distance and speed. For instance, signage that is meant to be read from twenty metres away by a person walking at a normal pace will require larger letter heights, higher stroke weight, and more contrast. Conversely, typography on a sign that is meant to be read up close doesn’t need to be as big, bold, or high-contrast. If the typography is too small, there is insufficient contrast between the letters and their background, or the sign is too cluttered, the same gorgeously designed sign becomes ineffective for any passers-by more than a handful of metres away.
It seems overly simple, but the different priorities of “easily photogenic” and “easily legible” make some visually beautiful signs completely unusable by people looking for directions.
It follows the same line of thought regarding the visual hierarchy of any given sign. The prominence and emphasis of a particular message will largely depend on reading distance and speed. The destination name (the highest priority for visitors) should always be the largest and most obvious element on a directional sign, with further other details such as arrows or floor levels scaled down beneath it. If a visitor has to look closely at a sign to pick out what they’re reading, that first impression of the sign failing won’t fade just because the photo online doesn’t look awful.
Accessibility has to be part of this from the start, not added at the end. Treating accessibility as a late compliance check usually means expensive rework, and it means some visitors were excluded from the system for however long it took to notice.
Consistency is a brand decision, not a style preference
Having one icon library, one typeface family, one material and colour palette across the entire property does more than look tidy. It builds a subconscious sense that the property is well run, and that impression transfers to every tenant and every brand experience inside it. Inconsistent signage – different fonts on different floors, mismatched materials between old and new sections – signals disorganization even if nobody can articulate exactly why the building feels off.
This is also where digital wayfinding earns its place. Interactive kiosks and directory apps are useful additions for large or frequently changing properties, but they work best as a layer on top of a solid static system, not a replacement for it. Plan for the system’s whole life, not just its installation
Signs get old and worn out. Vinyl may become pale, panels may become broken, adhesives may lose their strength, and tenancy directories become obsolete as soon as a shop changes ownership. A wayfinding system must have components that are modular and replaceable, and a maintenance plan must be established from the beginning so that, if an exit sign fades or a directory gets old, it does not affect the entire system for months.
The key to providing good wayfinding isn’t to install more signs; it’s about first understanding how people naturally transit the space, and then offering the right information at the right time to lead them where they want to go. Well-executed properties won’t stand out because of their signage – they’ll feel easy and intuitive, and that’s the main goal.
